Setup guide

From a new account to your first messages, step by step. About 20 minutes.

Before you start

Set aside about 20 minutes, and have these ready:

  • The Google account with your appointments calendar.
  • Your phone, with an authenticator app (for example Google Authenticator or Microsoft Authenticator) for two-step sign-in.
  • For texting: your business’s legal name and address, its EIN (sole proprietors can go on without one), your website if you have one, and a contact person.

Rather do it together? During our pilot we set it up with you on a short video call: request a demo.

1. Your account and business

  1. Sign up with your email and a password, then open the link we email you.
  2. Create your business: its name, its time zone, and where your appointments happen (customers come to you, or you go to them), or a set made for your kind of business. It gives you kinds of appointment and messages to start from.
  3. Turn on two-step sign-in: scan the code with your authenticator app and type the 6-digit code. Owners need it, because their account can text every customer.

2. Connect your calendar

Choose Connect Google Calendar, sign in with the Google account that has your appointments, and choose the calendars to watch. New and changed events reach the app by themselves.

  • Appointments already in your calendar wait for your OK. They get their reminders only, never a booking message, and nobody gets anything before you approve.
  • Check how your team types events: How to type appointments in your calendar.
  • No Google Calendar? Choose Go on without a calendar: you can add appointments in the app, or import them from a spreadsheet.

3. Check your messages

You see each message of your starter set, filled in for an example appointment: the text when it is booked, the reminders, and the texts when it moves or is canceled.

  • Each one is a setting: when it goes, to which kinds of appointment, and the words. Choose Change to open it; you come back here when you save.
  • Messages go only in your message hours. Choose Change hours to set them for each day; days off are in Settings → Schedule.

When they read right, choose These look right.

4. Set up texting

US phone carriers deliver business texts only from a registered number. Fill in your business details once and choose Send for approval. The carriers usually answer within a few business days.

  • Until then, customers with an email address get their messages by email. Choose Emails only for now to finish setup and send the details later.
  • Not sure what to answer about how customers agree? How customers opt in to texts.

5. Send yourself a test

Choose a message and where to send it (your phone or your email), then Send the test. You see it the way your customers will, filled in for an example appointment, with the link to their appointment page. Until the carriers approve your texting, the test goes by email.

6. Go live

Until now, every message for a customer came to you instead (test mode). Choose Go live and customers get their messages.

Not ready? Keep test mode for now, and go live later from Settings → Test mode and pause.

Putting a step off

Every step can wait. The dashboard shows Continue setup until you go live, and opens the first step not done yet.

After you go live

  • Invite your team in Settings → Team: admins can change settings, staff handle appointments and answer customers.
  • Choose your alerts in Settings → Replies and alerts: texts from customers by email, text or a notification on your phone, and the 3 PM list of tomorrow’s customers who have not confirmed.
  • Each morning, the dashboard shows what needs you: answers, new-time requests and events that need a number.
  • On the 1st of each month, your report: appointments confirmed and the time it saved you.
